Fall Fest Minutes

Opening the meeting

Boekenwuurm started the meeting on time and explained the agenda. The group in the new Hackalot big room had around 70 people present. All teams seem to have representation.

Agenda and General Announcements

Boekenwuurm opens with an explanation of the agenda items. She mentions there will be two general items and updates from 42 teams.

The first announcement from IFCAT is that everything is on track. The board has asked for feedback on the policy document via the orga mailing list and will continue to seek this feedback. She asks if there are any questions, and one question arises about the timeline. The current goal is to finish within three months, this ultimately depends on the tax authority.

The next announcement is about new banners (two on stage) and new stickers. One important request is for everyone to ensure their contact information is entered on the WHY2025 Wiki, especially an email address, so communication can be maintained.

Team: Terrain

RedLizzard shares updates about the terrain. He shows pictures (from the slide deck) of the field after the Liquicity festival, highlighting the damage caused by heavy machinery. He explains that this year has been unusually wet, which hasn’t occurred in the last 10 years. Stich also shows drone footage of the field.

For 2025, the field is expected to be in better shape than it was this year. RedLizzard explains how the field was used during the Liquicity festival and mentions that if the weather is better next year, the fields will be in much better condition. The SpiegelStage and some bridges from the festival will likely be recycled for our event.

The first design of the layout turned out not to be ideal, and the family area would have been in a mudpit. Last week, a second design was drafted. The loud and quiet areas have been swapped, and fields have been given names like Desert, Badlands, and Boneyard. The Boneyard will be used to store items like empty crates and the forklift. The quiet area will be in the northeast, along the tree line. You can check out the field layout 2.0 (insert link here).

RedLizzard presents version2.0 of the field design (in the slides) and asks for input from the teams via the mailing list. His 15 minutes are up, and during the question section, he explains the overflow fields, which are a "plan B" at this point.

Question: Are there locations allocated to specific teams/initiatives, like the Arcade? Answer: Yes and no. You can check the physical map later, but for now, the focus is on the big picture and the large stages (three of them). No final location for the Arcade has been decided yet.

Team: Huisstijl

The much-anticipated Huisstijl (style guide) is released. Boekenwuurm explains the Huisstijl and mentions that there may still be minor adjustments, but this is the final version for now. Everyone is encouraged to use it, create stickers, and explore the design. The only request is to stay within the Huisstijl guidelines. The neon effect and colors are emphasized, with a call to action to have fun with the 80s style design.

Call for volunteers

There is still a need for more volunteers to help make the event a success. While most of the people at the Hackalot meeting are already deeply involved, the call to action is for attendees to recruit friends, hackerspace buddies, and anyone interested to help share the workload.

Team status updates

Team: Waste

SynQ announces that he just signed up to be the team lead, and he promises glitter. Loud cheering from the audience.

Project: Serendiep

The ship Serendiep (https://www.serendiep.nl/) was at MCH2022 last time. The owner announces that the ship will be there IF there is enough support from the group. If enough people like the idea. The room lights up, showing support. There are logistical challenges. The current field has no harbor, but there is a docking place just 700 meters from the field, about the same distance as at MCH2022. Team: Logistics

The team announces they are waiting for the final plans. The Logistics team will be renting from Boels and will act as the central point. If you need anything, please EMAIL us. By the end of the month, there will be the first order to Boels, so please submit your requests.

Team: Bar and Foodcourt

The crew is growing. The startup meeting has been held. There will be two bar areas—one in the loud area and one in the quieter area. Most of the previous experience will be reused. Any questions about the bar? Please contact us.

Team: Warehouse

If you need anything, we will get it. Please email us with your orders—extension cords, duct tape, gaffer tape, or anything you need.

Dany shares that they are starting and preparing the code of conduct.

Team: Content

The CfP (Call for Proposals) is already online. If there are no objections, the CfP will go online after this meeting.

Team: Info

We need input from all teams and anyone else, really. If there’s anything you want to share, like the CfP, please tell us. If you have a new draft of the map, please share it. Safety has its rules, so if you have a village, let us know. We will get in touch with all teams, as long as we have your contact information.

Secret is out: We will start a weekly podcast for the event, called WHY CAST.

Team: Deco

Moem shares that there’s already a list of things the team is going to do. The team is meeting, and has a schedule and a mailing list, and we will reuse some things.

Team: Production house

Everything is working and lined up. Please come to Physique and [name] to get your questions answered.

Team: Payment

We are up and running and doing fine. You can contact us if needed.

Team: Parking

We are just getting started today, and we are preparing to map out the parking area.

Team: Volunteers

The team is working to help find much-needed volunteers. They show the poster, which you can hang up at your location.

Team: Shuttle

We already have two people who joined the team this year. We are already bigger than last time, and the event is still a month away. We feel we are making good progress with the shuttle service. We don’t have a mailing list yet, but if you need us, just ask. At least we are ahead of schedule this time around.

Team: Safety

We have been up and running for a while now. We are working on the temporary permit request with Nancy. It needs to be submitted by the end of this month. The final permit has a deadline of January 1st. This Monday, we will meet with the municipality to discuss the permit.

Team: Terrain

The buildup will be interesting this time, as we are mixing the planning with the teardown of the festival. It will be logistically challenging, but we are working on the schedule. At this point, we don’t foresee any problems. The good news is that the Terrain team now consists of five people, so we feel comfortable and can share the workload.

Team: Family

Pikachu announces that they have finished budgeting and sent it to finance. We now have regular meetings. We are organized, and there will be a family village. Plans are being worked on.

Team: Village

The villages are open for registration. Some villages are already set up, but we are waiting for tickets to be released, as that’s when most teams will register.

Team: NOC

We don’t have many updates yet, but we are working on the uplinks from our sponsors. Solcon has provided fiber at the site, and we have a confirmed offer from SurfNet. We are exploring the possibility of combining Solcon and SurfNet to get the uplink to AMS-IX. If you need dark fiber or have other special requests, contact us. If you really need dark fiber, please let us know via the mailing list.

We are also working on more space for EventInfra after the move. If you need a place to store stuff, contact us. We have space available at our new location.

Team: Website

We are working on the website (Pindakaaaasss). It will be up soon, and we will make announcements via the mailing list.

Team: Merch

The merch will be awesome. Nothing else to share.

Team: Finance

Henry announces that he has almost received all the budgets. By the end of the month, the ProjectLeiding will meet to finalize the budget, which will determine the ticket price. The meeting will take place during the last weekend of September.

Team: CTF

Was not onsite but was present via Jitsi. No status update since last Orga Jitsi, everything is going fine.
