  • Tickets & badges

Team:Badge had a budget for 3200 badges, we want badges for all people 3500, then we if we want 250 more, then we decided not to give the last 250 people badges. Just make sure to not be the last to pickup you wristband.

  • Volunteer food

We guaranteed you volunteerfood, but we couldn't get it financially working with Meckelenburg. So we currently in negotiation for alternatives to this, Team:Volunteers is working hard on getting it fixed.

  • Orga meet Saturday

This is the best moment to get the last stuff coordinated, please be there if you can.

Q: When does it start. A: It will actually start at 14:00 just because we want to make sure everyone will be able to meet.

Pikachu: - We have decided on a daycare provider and are now finalyizing on it. - Send an updated boelslist on time with the fencing included. - Warehouse has been contacted with a list of items. - Water will need to be connected to one of the tents. - A couple of subprojects are moving forward.

Danny: - Last notes on CoC are in, will be made final and forwarded to Team:Info before the Orgameet on Saturday.

Team:Accessibility

Simon: - Building list of items for an "Accessibility FAQ". Will work with Team:Info to incorperate what is already known and other teams to create a WIKI page for all the info. Maybe a QR code to link direct for people to scan. - Need to speak to various teams to confirm information for this (emails will be coming out) - Another volunteer made contact, providing insights as a first time attendee to a hacker camp to help figure out what is important for pre and on day information - Agreed use of "Accessible Parking" rather than "Disabled" with Boekenwuurm, Parking and Terrain. Use of International Symbol of Access agreed. - Previous discussions with Henry on number of accessible toilets/showers. Need to confirm where these will be place to ensure noted in FAQs - Provided information - do we need multiple languages, large pint options etc? To be discussed - Will reach out to relevant teams about harm reduction approaches to people who have used substances, low risk but was a question raised by email - Will speak to Team:Food about food options, if more known yet and if we can share headlines especially around allergies and options to enable people to plan ahead if they need to bring food with them - Will liaise with relevant teams to understand emergency procedures and ensure that those with additional needs can be planned for - Working with Nancy to understand specific mobility needs for attender and also for an orga. Xesxen: - currently working on BadgeHub stuff to get it up and running. - handeling tickets where needed.

Gina: - We have added a display of wikipages to the web map; currently we hardcoded some of the urls, but this will be moved to a system like MCH with the wiki-handels. 

   - Generally the layout of the map was updated, if you have feedback please let us know.

- Added doors to buildings 

   - enable the display by clicking the three stripes ('hamburger') menu on the top right and enable layers -> general -> doors
   - please leave feedback if you have opinions about the doors on your tent

- Klic melding (underground details of the terrain) stuff will be added to the database soon (as in hopefully during the meeting)

Call for action: Feedback on the position of the doors. When you do see doors, then that's where they are planned. If you want to have them any different place. No doors, then it will be finalized on the field.

Thice: - We emailed all the orga today about the Secret Token Game - Submit your tokens on https://token.why2025.org/submit-token - We wrote a draft blogpost about the Secret Token Game and sent it to Team:Info. - We are planning a WhyCast to talk about the Secret Token Game (the first rule of Secret Token Game is that you talk about the Secret Token Game). - We currently have 43 (was 30) CTF (Capture The Flag) challenges (and some more WIP). - We currently have 11 (was 3) STG (Secret Token Game) challenges (and many WIP).

   - Designed and ordered the WHY2025 cups and refund-coins: Collectors items.
   - starting on the pretix-register set-up for bars and foodtrucks.
       - Question: who can do a show-n-tell on the pretix to the food-vendors in july?
   - ordered last items through Warehouse.
   - started on the logistics and planning build-up for vendors and delivery on site.
       - Question: Where can we see the logistics overview?
   - started on the final decorating ideas for the unique bar-vibes in the NEON-karaoke-bar, Homely foodcourt-bar and Party-stage bar. 
   - Startup meeting has been done with our Bar & Drinks vendor. This was a success. Bars should be fully equiped and stocked.

Question: Kato: Is there a build-up schedule? Jeroen: There is information, but no central schedule. Kato: We will get a first plan for our buildup schedule and reach out to teams to connect water, elektricity etc.

Jeroen: - Moebelhaus is up and running, lots of orders are coming in. - Of the 64 tents, we are down to 5 tents at this point - If you have NOT ordered stuff yet, then make sure to get the order in SOON. Closer to the event will be hard to get the event.

IcyPalm: - Is there a overview of what was ordered by whom? Jeroen: - Can you send me quick e-mail so I can sent you / forward the information.

AK:

  • Since last Thursday we have a 400Gbit link up and running between Science Park Amsterdam and Inholland Alkmaar (thanks SURF and Nico for driving over from Germany).
  • Last section from Inholland to the field to built beginning of July.
  • We're pulling fibre on the field on the 28th of June which will be used for Liquicity, if you want to join contact AK, also see https://pad.bitlair.nl/p/fiberday20250628
  • If your team needs "colocation" in the on-site NOC datacentre please contact noc@why2025.org (for now VOC/ROC/POC we are considering)... also for other special requests.

Konmei: - We will not organize the verkeersregelaars. - The lugage shuttle is being rethought, we are probably changing that.

   * This will be rather complex, so we are considering to go down to 1 dropoff point: InfoDesk

Jeroen: - We have bands for most nights, we are still looking for dj's - We have constructions drawings for the stage, they will get distributed to Team:Safety and Team:Terrain

Marieke: - Way of working is a work in progress. - We're thinking of creation a presskit but then with pictures of WHY2025 journalist can use, so that we know for sure that they use only pictures were people gave consent. - Next Monday Boekenwuurm & Piiindakaas are guests at the podcast Met Nerds om Tafel. - Journalist has interest in doing a badge review. - Journalist has interest in writing ioan article about content / speakers / program.

Mack: - Little surpise as we didn't received information on stage 4 (Delphius). It's getting sorted out though.

Team:Villages

IcyPalm: - We had a planning meeting, first draft of village placement - About 50% has been planned, and 70% of people. - Final date is july 1st if you want a village on the map/field. - Village Hardware wants a specific location, but we need to find a solution that works for them.

Redlizard: The tent supplier needs to know what tents need accessibility tents. Can we get this information from the village information. Jeroen: For the sponsor and village tents, there is 5 accessibility plates. Redlizard: The tent vendor want to know more information.
