Agenda:

1. Welcome! Slow opening by Boekenwuurm at around 20:00u. Starting with 23 people.

2. PL Update

We are now on 2036 tickets sold. You can goto the stats page, or look at the wiki as the counters. Only 176 days, yes, less than 6 months. We are moving along good.

The meeting will be at Hack42, in Arnhem. Please come if you can, but make sure you are on the list of the meeting, so food will be supplied.

  • Vacancies are being added but also filled!

Please keep the vacancies coming, there are new people joining. So if you know people that have nothing to do, then please let them join u.

  • Tiny tasks & HackerHotel room (Marco Polo @ Hackerhotel this weekend)

- A bunch of people of the WHY orga will be at Hackerhotel. - Organizing small projects and Tiny Tasks where people can join in and make an immediate impact.

Can you help us out in preparing this? - Do you have an idea for a Tiny Task or a small project we can tackle for your team? Let us know! - Post your ideas on our shared pad: https://pad.ifcat.org/WHYtinytasks - If you have an hour to spare, drop by the WHYroom, come say hi, see what Tiny Tasks are available, and discover how you can contribute! - Share your stories with the WHYcast (previous events, cool info about your team) - "left over" Tiny tasks will be shared on the Wiki after the event

If you want to come and help during the HH this weekend, if you are there, you can also walk in and say hi.

Questions: - Can we have meetings in the WHY room? Unknown this moment, check the schedule, and check with Nancy or Robert. Otherwise there is lots of space in the Hotel where you can sit down and meetup.

  • We don't have a lot updates but we would like to add more projects for kids/content
  • The VOG has been discused but was dismised by the team
  • A potential small shared kitchen environment idea right now.
  • We have gotten some questions from team info and will get back on that asap.

  • We have added a lot of FAQ that are aimed at all volunteers (aka visitors) to the event. For example: General FAQ, Villages FAQ, Tickets FAQ, Family FAQ. Please check out the new pages, and improve them if you have the anwsers.

  • We stopped posting to Twitter with message: We’re moving to open spaces. Using Mastodon, Linkedin and YouTube. There is a balance to sponsor needs and our needs as a community.
  • Team:CTF has sent in their (draft) blogpost and suggestions for a few social posts, these are now live.

Dany: - Good discussion that is not finished yet, we are striving for a more diverse speaker lineup. So please send us your ideas how we can have a more divers speakerlineup. Send in your ideas: content@why2025.org - We have 42 speakers into the CfP at this point.

  • We have a new member who will be working on getting a nice looking online map.

  • We had a recap after FOSDEM from the feedback conversations we had in Brussels.
  • Work on integrating such feedback continues.
  • Happy to report several newcomers joined in Hardware and Firmware.
  • Thank you to Team:Sysadmin for newly provided resources they have setup.
  • @Team:Sysadmin - It would be great, if we could have a short call to discuss current setup of new tool provided.

Wido - There is a team-lead for this team, which is Wido. - There has not been a meeting/getting acquinted with the rest of the team yet. - Updates and requests for information from this team for the other teams will follow in the future.

Hugh - Shuttle rentals are being organised through On-site transportation 

   - May be EVs, so need to discuss charging requirements & location with Power

- We have a drop-off/pick-up on the latest map :raised_hands: - Need to discuss volunteer requirements with Volunteers for shuttle driver.

  • Rowan (teamlead) had to leave because of his study. Netsmurf is taking over as the teamlead.
  • Wristbands are being looked into. We need to clear that up, as last time we did not do this.

  • Permit is making good progress, BIBOP is finished.
  • But due to a new permit request (omgevingsvergunning) from municipality it **must be ready this week**, and not 3 weeks from now, to be finished at HackerHotel.

  • Sizing for 4000 visitors max in the permit (I guess we can have 4242)

Kato - New teamlead Foodcourt: [JustSem], working alongside team Bar together with K4T0 - We signed the contract with the foodcourt-vendor. They work with sub-contracters. - To do: details for terrain plan, terrases, elektro- and water-plan - We are negotiating with the suppliers for bar equipment and drinks. - Connecting with other teams on 22nd februari to plan together and decide on the suppliers.

Martin - We are not a happy camper right now, I am trying to get the Adyen payment terminals. Their engineers are not deliver on their promises. They are not committing to fix.

Harmen - Serendiep was granted permission by Provincie Noord Holland to moor the ship in the Noord Hollandsch kanaal next to the WHY-area. This opens the possibility to actually sail the ship to WHY and add it as an extra venue. How to go about next?

    • HP197: They appear only when bought and ordered. We are looking into this, but we will most likely have some for of tent rentals.
