Kick-off meeting. Attendance: Manduca, Matje, Wheeze, Yaya, Fighter, Lumi
DISCLAIMER: This is not an exact chronological report of the meeting. It's more a structured review of what has been discussed)
1. Teamleads
No leads yet for Off-site and Waste. Team Meubelhaus is a complete team now (4 persons including Lumi). Will meet the new members in the next Jitsi Orga meet.
2. Communication
We will stick to Mail (formal) and Signal (chat). And use Jitsi for the online meetings. Mailinglists are requested. But sadly this will take some time due to limited capacity in Team:sysadmin We'll create a mailinglist per team and one list for the overall logistics coordination (intended for the leads, but anyone can join). The signal group will stay general (reusing the group from MCH)
3. Planning meetings
Manduca suggests to have them monthly up until about February and after the bi-weekly. Suggestions is the first thursday of the month at 21:00. Everyone aggrees.
4. Team planning
4a. Exclusivity
Manduca informs about other teams people might be in. Especially On-site is intended to be exclusive. Wheeze informs that he is trying hard to stay out of the porto-team. He is only back-up in crisis situations. No-one else seems to be in an other team also, which is nice.
4b. People planning
A lot of logistics starts very early. Manduca states that he wants at least to experience drivers available early in the morning (06:00!!) during build-up and breakdown. That means these people can't party through the night. A lot of trucks arive at the same time early, and the need to by unloaded/loaded quickly. Additionally, a less experienced driver can but the stuff in the right place on the terrain. There is no rush in that, and is a nice practice in becomming more experienced. He suggests to create a rooster so we can get an overview of who is available when and where the gaps are. We decide to create the roster on the wiki. Wheeze will make a first setup. FighterX and yaya state the have no problems starting early. Nice!
Manduca states that I want to focus more on organizing and less on driving. Wheeze suggest that there should be a planning function and suggests to create a vacancy for it. During the meeting FighterX states he would like to do the planning. Manduca has an the following idee: to have a planner on the LSD (there will be an office created there). He can have a double role in organizing of the terrain. It will help in to know exactly what is where. We should have to shifts, early and late. FighterX volunteers
4c. Availabilty
Build-up will start at -10 (see Timeline). But more realistic we will starts slowly at -8 (wednesday 30-07-2025). The day to have the first forklift delivered together with the first fences and other basis terrain setup stuff. Manduca will be there to coordinate. One other team-member would be nice.
Manduca ideally want every one available on friday August 1st (yes, in exactly one year!!). NOTE: we should put arrival and departures in the roster.
5. Training
Manduca is aiming for an exclusive onsite training for the forklift drivers. That was very valuable during SHA as it the most realistic setup. Same machines, terrain and loads as during the event. It is also nice for people comming from abroad. It saves extra travel. The training is compulsary! Even if you have a valid certificate. It is also ment a teambuilding, setting general (safety) standards, getting used to loads and terrain, and a show of capability for Manduca as teamlead. It will take half a day and Manduca is aiming to plan it on Saterday morning if possible. Training for the cherrypicker will be offsite, but that is only a trainig for a few people (mainly deco) and will not be exclusive.. Telehandler training will probably also be off-site, if we will have any. Contact with Boels will start in oktober, so until then things will stay uncertain.
6. Terrain map.
Manduca shares the discussion with CaptainPower on terrain layout. Team:Terrain is working on an updated map that Manduca has not recieved yet. Warehouse is planning to put the warehouse over the moot near de NUTS hill. Pretty awesome. It will also contain the LHQ (Logistics Head Quarters) as hang out for everyone logistics. We will arange there will be sofa's, a fridge and microwave. And some sort of collective buying systems for candy/cookies/bapoa's etc. (User:Knorrie ? :) ). Manduca plans to bring stuff for great espresso :). Fighter will bring BBQ stuff. We should definitly have a BBQ again.
Manduca wants to claim the field in the lowerleft corner of the map for the LSD (Logistics storage domain). We want that field exclusively, as mixing other traffic with the driving around with forklifts in a tight space is just not smart. It also makes it easy to close of the field as we only have to close the bridge. Logistics entrance will be via the Wagenweg from the south, with a turn right to the LSD. The Wagenweg straight on shoud be closed for other traffic/people (only for emergency). This will create a nice closed of safe area. In front of the bridge into LSD there is a wide hardenend area for trucks to park on for loading/unloading. By using the bridge onto LSD they can also turnaround. Turning by driving ahead is a long way arround the whole field. Could be handy in some cases, but I think not viable as a default route.
For LSD we plan to upgrade from the smelly Pipo-wagen. We plan on a small portocabin. In addition with want a dry storage area, probably to be created by having a roof construnction between to containers (or the portacabin and a container). Something like the picture.
It can be used to store the fridges for Meubelhaus and other stuff the should stay dry. It should a paved flour (plastic interlocking dirtmats?)
LSD sides will be paved with large steel roadplates. The middle road is sturdy enough by itself.

7. Aftermath
Manduca and Fighter kept talking :). Fighter will assist Manduca in organizing and also with organizing the Boels order.
